Privacy Policy
This policy explains what data OwnerBot collects, why, who we share it with, and how you can remove it. OwnerBot is run by OwnerBot LLC.
Who we are
OwnerBot ("OwnerBot", "we", "us") is a marketing assistant for small and local businesses, operated by OwnerBot LLC, an Arizona limited liability company. You can reach us about privacy at [email protected].
What we collect
We collect three kinds of data.
Information you give us
Your name, business name, email, mobile number and website when you sign up, create a free account or contact us. Messages you send OwnerBot in the chat, and the approvals you give it.
Data from accounts you connect
You choose which accounts to connect, and you sign in to each one through that provider's own permission screen (OAuth). We never see your passwords for these accounts. Depending on what you connect, OwnerBot can access:
- Google Business Profile: your listing details (name, address, phone, hours, services, categories), posts, photos, reviews and review replies, and listing performance data.
- Google Ads: account and campaign settings, keywords, search terms, budgets, ads, and performance and conversion data.
- Google Search Console, if connected: search performance data for your website.
- Facebook and Instagram (Meta): the Pages and business accounts you pick, their posts, photos, comments and basic insights, and permission to publish posts you approve.
- WordPress and other website platforms: the pages, posts, media and settings OwnerBot needs to make the edits you approve.
- Reviews and leads: reviews from the review sites you connect, and leads from the web forms and lead sources you connect, including the customer contact details in them.
We only request the permissions needed for the features you turn on, and we ask for each one when you turn that feature on, not before. Connecting Google Business Profile asks for permission to manage your listing. Search Console and Google Ads are separate requests that are made only if you connect them.
Information collected automatically
When you use our website or app, we collect basic technical data such as IP address, browser type, pages visited and timestamps, through server logs and Cloudflare Web Analytics, which does not use cookies. We do not use advertising cookies or tracking pixels today. If we add tools such as Google Analytics or a Meta pixel, we will update this policy before we do.
How we use it
We use your data to run OwnerBot for you:
- To answer your questions in the chat and prepare your score plus a fix list
- To make the changes you approve, such as posting to your Google listing, replying to a review, updating a web page, changing an ad setting or following up with a lead
- To show your results dashboard and send your weekly text report
- To keep the service secure, fix problems and provide support
- To contact you about your account, and with your consent, by text message
We do not use data from your connected accounts to advertise to you or to anyone else.
Google user data and Limited Use
OwnerBot's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
In practice, that means:
- We use Google user data only to provide and improve the features you see in OwnerBot.
- We do not sell Google user data, and we do not use it or transfer it for advertising, credit checks or lending.
- We transfer Google user data to others only as needed to provide those features (for example, the AI model providers described below), for security, to comply with the law, or as part of a merger or sale with notice to you.
- People on our team do not read your Google user data unless you ask us to (for example, for support), it is needed for security or to investigate abuse, it is required by law, or the data has been aggregated and anonymized for internal operations.
- We do not use Google user data to train generalized AI or machine learning models.
AI processing
OwnerBot uses large language models from third-party providers to understand your requests and draft answers, posts, replies and page edits. To do that, we send the relevant part of your request and account data to the model provider. Our model providers are Anthropic, OpenAI, Google and TypeSafe.
We use these providers through their business API services, under terms that do not let them train their models on your data. We send them only what a task needs.
OwnerBot does not publish or send anything on your behalf until you approve it, unless you have told it to handle a type of task on its own.
Who we share data with
We do not sell your data or your customers' data, and we do not share it for cross-context behavioral advertising.
We share data only with:
- Service providers who help us run OwnerBot: Cloudflare (hosting, data storage and email), Stripe (payments), Google (sign-in and Google services) and the AI model providers above. They may use the data only to provide their service to us. If we add a provider, we will update this list.
- The platforms you connect, when OwnerBot makes a change you approved (for example, publishing a post to your Facebook Page).
- Authorities, when the law requires it or to protect the rights and safety of our users and others.
- A buyer or successor if OwnerBot LLC is part of a merger or sale. We will tell you before your data moves to a different privacy policy.
How long we keep data
We keep your data while your account is open. Data from connected accounts is kept only as long as we need it to run the features you use, and cached copies are refreshed or removed on a schedule. We keep cached data from connected accounts, your chat history, reports and server logs for no longer than 1 year, or for a shorter time where a connected platform's rules require it.
When you close your account, we delete your data, including data from connected accounts, within 30 days, except where the law requires us to keep it (for example, billing records). Backups are overwritten within 30 days after that.
Deleting your data and revoking access
You can ask us to delete your data at any time by emailing [email protected] from the email on your account. We will confirm and complete the deletion within 30 days. If you remove OwnerBot from your Facebook or Instagram settings, you can also ask for your data to be deleted there, and we will complete that request the same way.
You can also disconnect any account inside OwnerBot, or revoke OwnerBot's access directly with the provider:
- Google: go to myaccount.google.com/permissions, choose OwnerBot and remove access.
- Facebook: go to Settings and privacy, then Settings, then Business integrations, and remove OwnerBot.
- Instagram: go to Settings, then Website permissions or Apps and websites, and remove OwnerBot.
- WordPress: remove the OwnerBot application password or plugin from your site's user profile or plugin list.
When you revoke access, OwnerBot stops pulling new data from that account. To remove the data we already have, ask us to delete it as described above.
Your choices and rights
You can see, correct, download or delete your data by contacting [email protected]. Depending on where you live, you may have other rights under laws such as the California Consumer Privacy Act. We will not treat you differently for using them.
You can stop marketing emails with the unsubscribe link, and stop text messages by replying STOP.
Security
All traffic to OwnerBot is encrypted in transit (HTTPS). Your data is stored with providers that encrypt it at rest, and access tokens for your connected accounts are stored in encrypted form. Access to customer data is limited to people who need it to run the service, and our admin accounts use two-step sign-in. No system is perfectly secure, and we will notify you and the authorities of a breach as the law requires.
Children
OwnerBot is for businesses and is not meant for anyone under 18. We do not knowingly collect data from children.
Changes to this policy
If we change this policy, we will update the effective date above, and for important changes we will email you before they take effect.
